State Committee November 2011 Meeting

Minutes for the November, 2011 Meeting
(As a modest reminder to readers, these minutes are lightly redacted because of space limits, largely to skip parliamentary issues that have no effect on what was being done.)

Call to Order
Meeting called to order on November 20th, 2011 at 1:48pm in Worcester. Present were committee members: David Blau, George Phillies, Dick Martin, Alwin Hopfmann, Bob Underwood, and Bob Clark. A modified agenda was accepted.

Officer Reports

AuMass :: State Committee November 2011 Meeting
Chair
David has processed 6 information requests from the national website, and 4 from our state contact list, for a total of 10 in the last month. David responded to most of those with email, with a couple of them requesting information by regular mail. To those David sent a copy of the newsletter. For the remainder of the extra copies of last month's newsletter, David plans to send those out to former members of LAMA. David has been updating the Facebook and Twitter pages, almost on a daily basis.

David monitors and participates in LNC discussions. The next LNC meeting will be December 10th and 11th in Las Vegas. One of the top current issues is moving into a new building. The lease on their current location expires at the end of February, and they are looking to move into a more permanent location.

George asked if anyone plans to put a video of the meeting on the Internet, and David said he will bring his laptop and use it to record the public portion of the meeting. He encourages everyone to watch a meeting online if you haven't yet done so.

Membership Secretary
We currently have 117 members, which is down 4 from last month. We did just get another member from the latest fund drive, along with a donation.

Treasurer
We have $4025.18 in the Federal account and $4218.73 in the OCPF account.  FEC receipts last month were $1800.01. Expenses were $612, including $72 for Meetup, $20 for newsletter printing supplies, and $494 for the state convention. FEC receipts this month were $770. Donortown Square cost us $2.40.  OCPF receipts were $175 in October and $125 in November so far. Donortown costs were $6.20 and $6.40, respectively. The OCPF account paid for $120 in Facebook ads.

George was too busy printing the next fund drive to do fine details on the balances.

Expenses this month:
Godaddy -- $88.77 for URL renewals. This was all        Federal.
Staples: #10 envelopes, 1000 -- 16.98;  #9 envelopes, 1000 -- 41.98 brights paper ream -- 11.99;  tax -- 4.26
Half state, half federal 37.61 and 37.60 respectively.
1600 labels $16.
1200 color labels -- 40 pages @4 cents 1.60
1200 B&W labels 14 pp @2 cents 0.28
14 pages address labels 4.20 + 0.28 4.48
400 sets contents @2 color and 5 B&W = 18 cents is $72
140 sets drop card at 1 color, 1 B&W = 6 cents = $8.40
Total is 102.76, and this is from the state account.
In addition, 1000 stamps, 1/2 state, 1/2 federal is $220 each from the state and Federal accounts.
George asked to be reimbursed for the following: $88.77 for Godaddy, $75.21 for envelopes and paper, the printing is $102.76, the stamps are $440. George presented receipts for these items.

Membership Renewal
Dick has gotten the second letters done completely, and the third letters partially done. The address labels for the first letters, which would be sent out in January, need to be printed, along with more #3 letters. Dick said he has three different versions of the fourth letter, and would like to purge all but the correct ones.

Dick said in the future he will try to get the printing and stamp requests to George earlier in the month so there is more time to respond to them.
